The Production Assistant supports the Project Director and Creative/Digital teams by managing deadlines for all creative deliverables using project management software. You will also coordinate getting art files to print vendors and digital files to the digital team for the ad buys. You are driven, organized, excel at time management and prioritizing and you are comfortable working independently in a fast-paced environment.

Proof, review, and share copy for outreach materials
Group Proof all art pieces
Ensure edits/changes are communicated
Confirm final approval for publishing with client
Use vendor’s interface to upload materials required for printing
Distribute artwork to internal teams for online publishing
Proof and give final approval for publishing
Distribute art and data to ad buy team
Reconciling ad buy invoices
Create and maintain SharePoint/OneDrive folders for project materials.
Document and communicate project status through project tracking software
Race specific –candidate/issue info/links/GAD contacts/preliminary google search
Project specific – plan info/tracking due and drop dates/filing final versions for NAR
Digital – plan info/tracking launch dates/confirming budget
Sharing invoices with Billing department to get postage charges paid
Keeping a spreadsheet of all postage/digital buy invoices and when they were paid
Saving postage statements, logging receipts in the project tracking software
Create/distribute service agreement contract (in DocuSign)
Track completed docs/follow up
SKILLS – Must have
· Above average PC skills, knowledge of Microsoft Office products
· Solid communication skills, both oral and written.
· Excellent organizational and time management skills
· Project management
SKILLS – Nice to have
· Strong knowledge of printing and experience in print production & direct mail
· Knowledge of postal regulations
· Experience working remotely
